The NewMedia Classroom
houses our Polycom Video Conferencing System and the room can handle up to 25 people. Some features include:
IP-based system only
Plasma screens, LCD projector, Smartboard, 16' whiteboards, two remote controlled cameras
A third studio camera (technician required at an additional labor charge)
Ability to connect up to two Polycom-compatible remote sites of video/audio and data
Ability to connect to one additional site of audio only site
Pre-event testing is mandatory a minimum of 24 hours prior to the actual event.
This will confirm all is working or if further troubleshooting is required.

Other information:
72 hours is required prior to the event for the client to coordinate all information
The "near site" is defined as the Caltech location. The "far site" is defined as the remote
off-campus location you wish to contact

Provide date and time of the event
Provide a PTA account number. All testing, equipment, and event labor expenses will be
charged to this
Provide a Caltech business code for phone calls
Reserve a room at Caltech for the test and event. Both must be conducted in the same location
Estimate the audience size
Determine whether the far site is an IP or ISDN video conferencing system. Our system only
supports Internet Protocol (IP). Off-campus sites using ISDN
(high speed phone lines) will require a
3rd party bridging service at an additional cost. You will need to arrange for the bridging service
and we can provide the resource information.
Supply the far site IP address, for example, 131.215.18.18
Supply the far site technical contact name and e-mail address
Supply the far site room phone number
Supply the far site office contact phone as an alternate
Who should initiate the video conference call? Caltech or the far site?
Supply the near site room phone number. A phone in both the near and far site rooms is mandatory
If no phone is available, a cell phone must be provided for the test and event to allow direct
communication between near and far technicians.
Verify that there is a working network port available in the CIT room that is not constricted by a
firewall (Contact your department network administrator or ITS can assist).
Provide date and time of the test
Verify that the far site event and test are in the same locations
Verify whether or not data sharing (powerpoint or keynote) is necessary between the near
and far site

System Equipment Rental Rates
Using the New Media Classroom Equipment:
Our Portable System:
Mandatory coordination/far site testing fee up to one hour $75
One-hour equipment use starts at $165
System set-up, and 1-hour equipment use,
starting at $175
Each additional hour or portion thereof is $35
Technician assistance is available for an additional labor rate
Hours of operation: M-F 8:00am-5:00pm
Evenings and weekends by prior arrangement and subject to overtime labor rates
